Duplicate invoice review: a practical checklist

Check supplier identity, invoice numbers, resends and recurring bills before approving a possible duplicate supplier invoice.

Find the original before rejecting the resend

Compare the supplier, invoice number, invoice date, total, currency and source document. Spaces or punctuation may change on a resend. A credit memo or a corrected invoice can look similar to an original, so do not decide using the total alone.

Check receiving and the service period

Two bills for the same amount may represent separate deliveries or monthly service periods. Check PO lines, accepted quantities and dates, then compare the documents side by side. If the supplier changed the invoice number, ask which document replaces the other.

Check what has already been posted or paid

Look in the accounting system as well as the invoice queue. A bill entered or paid outside TriMatch may not be visible to its duplicate checks. Reconcile credits and voids; never assume an approval means money has moved.

Record a decision and retain evidence

For a confirmed resend, record the original reference and the reason for rejecting the duplicate. For legitimate recurring bills, record the different period or delivery. Route uncertainty to a reviewer rather than bypassing the warning.

Test the controls with fictional documents

Try an original invoice, a resend with punctuation changes and an equal-value bill for a different period. The table below is illustrative, not a guarantee that every duplicate will be detected.

Fictional worked example

A resend versus a new recurring bill

Fictional supplier Harbor Components sends the same $460 invoice twice, then a separate monthly bill.

A resend versus a new recurring bill: sample records
DocumentWhy it needs reviewReview action
DEMO-1042 / $460Original billReview against PO and receipts
DEMO 1042 / $460Similar identifier and supplierCompare with the original; do not approve both blindly
DEMO-1043 / $460Same amount, different invoice periodVerify the service period; amount alone is not a duplicate

Resolve a duplicate warning using the source documents and audit history. A new invoice with the same amount may be legitimate. Bills paid outside TriMatch may not be visible, so reconcile the accounting records too.
