Invoice OCR review: what to check before approval
A practical checklist for reviewing extracted supplier invoice fields, difficult scans and line items before matching or posting a bill.
Can invoice OCR replace all manual entry?
It can reduce typing, but an extracted result is not evidence that an invoice is correct. Start with redacted documents you are permitted to use, compare the output with the original, and record corrections by field and supplier. TriMatch does not claim an independently measured extraction-accuracy rate.
Which documents need extra checking?
Watch for clipped totals, skewed phone photos, shadows, faint print, multi-page tables and unfamiliar layouts. Request a clearer original when essential information is missing rather than guessing a quantity or bank number. Keep the source available for the reviewer.
What should the reviewer compare?
Check supplier identity, invoice number and date, currency, PO reference, quantities, units, unit prices, subtotal, tax, freight and total. Recalculate the arithmetic. Separate an invoice from a credit memo and check whether the same document was already received through another channel.
Why is reading an invoice different from approving it?
A perfectly readable bill can still charge for goods not received or use a price above the PO. Match against the order and accepted deliveries, review duplicate warnings and route discrepancies to the responsible person. Do not use OCR to approve a vendor bank change.
How should we measure a trial?
Use a representative mix of clear PDFs, real supplier layouts and difficult scans, with permission and verified hosting before real data. Count correct fields, line-level errors, documents needing correction and time spent reviewing. Verify the resulting accounting record too; a successful extraction does not prove the connector posted the right bill.
Fictional worked example
A clean PDF and a difficult scan
Fictional supplier Harbor Components sends invoice DEMO-1042: ten seals at $12, subtotal $120, tax $9.60, total $129.60.
Do not approve a bill just because OCR produced a total. Check that subtotal plus tax equals $129.60, verify the PO and lines, then confirm. A blurry or unfamiliar layout can require manual review. This is a worked example, not a measured extraction-accuracy result.
